Timeline for Intern/Residency Applications

Preparation for the match process should begin during the third year of medical school and continue throughout the fourth year.

Once the majority of your third year rotations have been completed, you may have determined the field of medicine in which you would like to train and practice in the future and the training programs to which you will apply. Those who have not made this choice should schedule electives in areas of interest early, in order to help make your choice. In addition, seek information from faculty and other physicians in your areas of interest. Those who still have difficult deciding on a specific field of medicine should consider the Traditional Rotating Internship.

Use the following timeline as a guide while planning the internship/residency application and match process. As a courtesy to UMDNJ-SOM students, deadlines for UMDNJ-SOM OPTI programs are included in the information below. Other programs may have different deadlines, so make sure you are aware of all important dates wherever you apply.

Year III

March/April/May

Set up Elective rotations. It is recommended that whenever possible you obtain Electives at the training programs to which you want to apply and in the specialties you wish to train.

Determine where you will apply for internship. If you have questions or concerns about specific choices, seek advice from faculty, Academic Affairs, Students Affairs, or GME staff, and/or graduates (current house staff or alumni). Academic Affairs has developed a list of UMDNJ-SOM graduates who have entered into particularly competitive fields (such as Anesthesia, ENT, Neurology and Radiology) to assist students seeking information about those fields.

Find out the deadlines and requirements for application to each specific program. Keep careful records, as program deadlines and requirements may vary.

If you are seeking a residency in Neurology, Child Neurology, Neurosurgery, Ophthalmology or Plastic Surgery, register for the San Francisco Match at http://www.sfmatch.org. All deadlines for registration fall within the late August/early September timeframe. However, each residency has its own specific timetable, available at the website.

Year IV

June/July

Select the faculty members whom you will ask to write your recommendation letters (preferably, but not absolutely, from the same specialty area in which you are applying). Letters should be forwarded to Academic Affairs.

Complete your CV and forward it to Academic Affairs for preparation of your Dean’s Letter.

Applicants will receive MyERAS tokens from Academic Affairs in late June. These tokens will allow applicants access to the applicant manual on the ERAS website at http://www.aamc.org/students/eras/start.htm. Register for ERAS and create your profile and MyERAS application.

Applicants can begin working on their applications in ERAS beginning July 1, 2009 and begin selecting and applying to Osteopathic Internship programs starting July 15, 2009 . Write your personal statement and create your list of recommendation writers on ERAS.

Beginning in June, students can download the Agreement form for participation in the AOA Intern/Resident Registration program (the “Match”) from the National Matching Services, Inc. (NMS) via their website http://www.natmatch.com/aoairp/index.htm. To register, each student must return a signed Agreement to NMS accompanied by the appropriate registration fee by October 9, 2009.

If you choose to do so, register for the allopathic (M.D.) match at http://www.nrmp.org/res_match/index.html. Students must register online at that website by November 30, 2009. Follow the procedure outlined in their “Applicant User Guide,” which may be printed from the NRMP website.

August/September

Attend workshops offered by Academic Affairs and Graduate Medical Education on interviewing skills and the intern application process.

Get all necessary documents (Dean's Letter, Transcripts, board scores, etc.) and submit them to Academic Affairs to be uploaded into ERAS.

Coordinate with faculty to have your recommendation letters sent to the Office of Academic Affairs for submission into ERAS by the application deadlines. It is your obligation to follow up and ensure that letters have been received by Academic Affairs.

Authorize transmission of your COMLEX (and/or USMLE scores) on the ERAS website.

Choose the programs in which you are interested and assign documents to be sent to programs on the ERAS website.

Certify and submit your MyERAS application (or other methods by which the programs you are applying for are taking applications).

Apply to and pay for programs.

Send documents to programs as they become available. It is not necessary to wait until all documents are ready to apply to programs. This may allow you to set up interviews earlier in the process.

September/October

UMDNJ-SOM OPTI will send out letters to students with completed application files to schedule their interviews.

October, 2009

UMDNJ-SOM OPTI deadline for internship applications.

Results of the osteopathic match are released to all participants (students and institutions). Contracts for each matched student are sent within 10 working days after receipt of the Match results to the student for signature. Each matched student must sign and return the contract to the institution within 30 days after receiving the contract.
